Personal Information Protection Policy

Genetec Corporation (hereinafter the Company) is aware that personal information protection is a corporation’s social responsibility. The Company declares that it will stipulate a Personal Information Protection Policy within the Company, strive to thoroughly comply with laws and ordinances related to personal information and with the “Act on the Protection of Personal Information” (Act No. 57 of 2003), and take initiatives throughout the entire Company in order to appropriately, accurately, and safely manage and protect personal information.

Matters related to acquisition, use, and provision of personal information

Excluding cases stipulated in laws and ordinances, acquisition of personal information will be conducted based on what is stated below.

The purposes of use will be clearly stipulated within the scope of the Company’s business and notified or announced to the public, and acquisition will be conducted, limited to the scope that is necessary for accomplishment of the purposes.
For all means of acquisition, either through direct acquisition through a document from the relevant person, acquisition through something other than a document, or indirect acquisition, the purposes of use shall be clearly indicated and the relevant person’s agreement shall be obtained.
When the purposes of use of personal information have been changed, notification will be given or public announcement will be made concerning the purposes of use that have been changed.
Use of personal information will be conducted within the scope of the purposes of use that have been clearly indicated by notification or public announcement. When use for something other than the purposes has become necessary, the relevant person’s agreement shall be obtained for that use.
When personal information will be provided to a third party, the relevant person’s agreement shall be obtained in advance.

Matters related to personal information’s safety

We will take reasonable safety measures in relation to risks such as unauthorized access to personal information or destruction or leaks of personal information, introduce management resources along with the most recent technical trends, and continuously improve personal information security systems.

Matters related to continuous improvement

We will stipulate “Regulations for Personal Information Protection” related to protection and handling of personal information, appropriately reconsider those regulations in a timely manner, and strive to continuously improve them.

Matters related to disclosure, correction, or deletion of personal information

For personal information that has been obtained, we will strive to maintain accurate and up-to-date content, within the scope that is necessary for accomplishment of the purposes of use. When the relevant person has made a request for disclosure, correction, or deletion related to personal information, we will conduct strict identity verification and then handle the matter within the appropriate scope, based on laws and ordinances. We will make this policy thoroughly known by board members and all employees and work to improve people’s awareness about protection of personal information.

About handling of personal information

Whenever the Company will acquire personal information directly through a document, excluding cases in which handling will be allowed as an exception based on a law related to personal information protection or another law or ordinance, we will clearly indicate the purposes of use and then use the information within the scope of those purposes of use and within the scope of the time limit for use or the time limit for storage. If personal information will be acquired by means other than directly through a document (including indirect acquisition), we will use it within the scope of the purposes of use stated below. If there are no particular statements, the time limit for use and the time limit for storage will be approximately one month, but please understand in advance that there will also be cases in which we will use personal information beyond those time limits, such as in cases in which the content of an inquiry or a request for information provision will be recorded again in a database. If personal information will be used for something other than the purposes stated below, notification of the purposes of use will be given again and agreement will be obtained. Your provision of personal information is voluntary, but please understand in advance that if you do not provide personal information, there are services that you will be unable to use.

Types of information, and purposes of use

(1) Personal information of people from whom we have received an agreement or an application for something such as purchase or use of a product or service of the Company:
Performance of agreements, the Company’s products and services (e-mail magazines, catalogs, and new product information), provision of follow-up service, and handling of inquiries; Information about things such as related products, seminars, and events
(2) Personal information of people who have applied for or participated in something such as a seminar or exhibition hosted or co-hosted by the Company:
Information related to the relevant seminar or exhibition; Information about things such as related products, seminars, and events
(3) Personal information of transaction partners’ people in charge:
Information about seminars and events, requests for participation in surveys about customer satisfaction
(4) Personal information of shareholders
Exercising of rights or performance of obligations based on the Companies Act, etc., and management of shareholders based on various laws and ordinances
(5) Personal information possessed by customers that is entrusted in association with work consignment:
Performance of agreements concluded with customers
(6) Personal information of people who visit a Company facility:
Ensuring the Company’s security
(7) Personal information of partners’ employees:
Activity management and work management for the Company’s work (system development, maintenance, and operation), and confirmation of skills and provision of personnel for the Company’s work
(8) Personal information related to job applicants:
Procedures for selection of people to hire
(9) Personal information of people who have resigned:
Sending things such as information from the Company, and work related to company pension and other forms of social insurance; Management of records for things such as service, salary, and health information
(10) Specified personal information:
Clerical work related to people’s personal number, such as tax withholding at the source, social insurance, and labor insurance; Clerical work related to people’s personal number, such as creation of payment records for remuneration and charges; The Company may consign a portion of work for the aforementioned purposes to a consigned party and consign handling of personal information within the scope that is necessary to that consigned party. In such a case, appropriate management will be conducted in accordance with laws, ordinances, and standards stipulated by the Company.
